How to Turn a Document Into a PDF File

Regardless of the type of file you are working with, saving it in a PDF format is extremely simple. This can be very useful if you want to create an official manuscript that others can view but not easily modify. To make converting a file into a PDF document as easy as possible, be sure that you have the most recent version of Adobe. When creating a PDF document, you can either save the file in PDF format or print an electronic PDF file.

Saving a Document in a PDF Format

Open the document that you wish to make into a PDF file. It does not matter whether it is a Word document, database record, spreadsheet or presentation.

Click on the "File" menu and scroll down to the "Save As" option. Once it is highlighted, select it by left-clicking.

Click on the format field and select "PDF" when a screen pops up with fields for the file name, its save location and its format. Change the file name and its directory to your specifications.

Hit the "Save" button. You now have a PDF version of the file. Be aware that it is difficult to modify PDF files or convert them back to their original format. If you think that you may make changes to the document at a later date, you should also save it in the default format.

Printing a PDF File

Open the file you wish to print to a PDF. It does not matter what kind of file it is; the process will be similar on most programs.

Click on the "File" menu and scroll down to the "Print" option. Once it is highlighted, select it by left-clicking.

Click on the "PDF" button on the bottom, left-hand side of the "Select a Printer" window that pops up. A menu will appear beneath the "PDF" button giving you several options. Highlight and select "Save as PDF."

Name the PDF file and specify its save directory. You may also see some fields asking for the title, author, subject and keywords that will be associated with the PDF document. These do not have to be completed to save the PDF document successfully. Hit "Save" when you have filled in all the necessary and desired fields.

Tip

  • check If you choose to print a file as an electronic PDF, the end result will be the same as if you had saved it in a PDF format. Some programs only allow the conversion of files into a PDF through the printing process.
