How to Customize Outlook Calendar Print Styles
By Chad Davis
Print your monthly, weekly or daily calendar by using print styles in Microsoft Outlook 2013. You can select from six print styles, including Daily Style, Weekly Agenda Style, Weekly Calendar Style, Monthly Style, Trifold Style and Calendar Details. Use the Page Setup dialog to help you define the format of your calendar such as layout and font style. If you don't want to print your private appointments and meetings, you can check the "Hide Details of Private Appointment" box in the Print Options dialog.
Open the Print Menu
Click on "Calendar" in the bottom navigation bar of Outlook. Open the calendar you want to print. For example, click the calendar labeled with your email account in the Folder pane. Select an arrangement from the View ribbon to include in the range for your printed calendar. For example, click on the "View" tab and then click "Month" to select the entire month. Click the "File" menu and then click "Print" to open the Print menu for your calendar. View options are available in the right preview pane.
Select a Print Style
Calendar print styles are found in the Settings box of the Print menu. Select the print style you want to use for your calendar. Click "Weekly Agenda Style" or "Calendar Details Style" to print your appointments or meetings with details. Select "Daily Style" if you want to print a calendar with one day per page. Select "Weekly Calendar Style" or "Monthly Style" to print your calendar without details. Select "Trifold Style" to print your daily agenda in the first pane, your task list in the second pane and the current week's calendar in the third pane.
Open Page Setup
Click the "Print Options" button under your printer in the Print menu and then click "Page Setup" to open the Page Setup dialog. Alternatively, click the "Define Styles" button to open the Define Print Styles configuration. Select a print style to customize in the Print Styles box and then click the "Edit" button to open the Page Setup dialog for your calendar. Your calendar's current print style name appears in the Style Name field. Configure additional print settings using the Format, Paper and Header/Footer tabs.
Customize Style in Page Setup
Click "Font" on the Format tab of the Page Setup dialog and select a custom font. Click the "Layout" drop-down box to customize the layout for your selected style. For example, select "2 Pages/Month" to spread a monthly calendar across two pages. Check the "Notes Area" boxes to include an area for notes and "Only Print Workdays" to only print workdays. Click "OK." Select a print range from the Start and End fields, and check "Hide Details of Private Appointments" to hide private items. Click the "Print" button to print your calendar.
