How to Use a NeatDesk Scannerby Ashley Poland
The NeatDesk scanner comes with three scanning slots: a large one for full-sized paper, a medium one for receipts and a small one for business cards. It features a simple scanning interface and ties to the Neat software, which acts as a digital filing system. You can scan using the hardware buttons or the Neat software.
Before you get started with the NeatDesk scanner, make sure that you meet the minimum system requirements. The scanner works with every version of Windows from Windows XP to Windows 8, and it also works with OS X 10.6 or later. Neat recommends at least 2 GB for Windows and 4 GB for OS X. You'll need at least 1 GB of free disk space for the software installation and another gigabyte for data you save when you scan documents. Neat recommends a dual-core processor, although a minimum Pentium IV 2.0 GHz will work.
Scanning from the NeatDesk Software
Install the Neat software on your computer before you get started. While you can initiate a scan from the NeatDesk scanner, you have more control when you start a job from the software. When you initiate a scan, you select your scanner, choose what type of document you're scanning, set the color options and choose whether the document is single- or double-sided. It even has the option to combine multiple pages into a single document.
Scanning with the Hardware Buttons
When you're using the NeatDesk scanner, place documents face-up. (This is different from the NeatReceipts scanner, which scans documents face-down.) If you're initiating a scan from the hardware, you can start by pressing the "Scan" or "PDF" buttons located on the front of the scanner. If you use these buttons, the files will appear in the folder currently open on your computer. You can also access these images in the Neat software.
Managing Scanned Documents
The Neat software categorizes your documents into a digital filing system and cleans up each scanned document so that it's easy to find and easy to read. The software uses optical character recognition to help you categorize your items and search using text from scanned images. When a scanned document finishes processing, it will be marked as "Unreviewed." You'll need to review these items to ensure that Neat processed the text correctly. You can use Neat to export information and even to create expense and tax reports.
